Media Recordings Data Retention Policy

Kaltura Data Retention Policy

Videos that are stored in Kaltura and have not been viewed in four years are automatically placed into the Kaltura Archive.  If a video is not removed from the archive for an additional 30 days, the video will automatically be deleted from Kaltura.

If a video is played for longer than 10 seconds, the Kaltura system logs a video as having been viewed. When a video is removed from the archive, the clock resets, and it will not be moved back into the archive until it has not been viewed for four years.

Thirty days prior to deletion, media owners will receive an email from Kaltura notifying them that video deletion is pending.

Please note: In Kaltura, the individual who uploaded the video is considered the owner.  Faculty on teaching teams or who work with TAs who uploaded video content on their behalf may not be considered the owner of the videos in their courses. In this case, faculty will not receive a notification that videos are pending deletion. If you have questions about video ownership and notifications, please contact us at Canvas@cornell.edu.

Panopto Data Retention Policy

Videos that are stored in Panopto and have not been viewed in four years are automatically placed into the Panopto Archive.  If a video is not removed from the archive for an additional two years, the video will automatically be deleted from Panopto.

Videos in the Panopto archive can be retrieved as needed by the owner of the video or anyone who has the permission level of “Creator” on the archived video. If a video is played for any length of time, the Panopto system logs a video as having been viewed. This includes when the creator of the video plays or edits the video. When a video is removed from the archive, the clock resets, and it will not be moved back into the archive until it has not been viewed for four years.

Zoom recordings

Canvas class recordings are available through Canvas for up to 120 days. Past recordings are available through the Cornell Video on Demand (VOD) service. Any media that has been unwatched for over four years will be removed from service. Read more about the VOD retention policy on CIT’s website.
